OVERVIEW: This webinar talks about how to build a record locator tool, the new key to records transparency. This tool offers a one-stop search for any record type and/or subject.

Does your institution offer a single-search index to all your record series and/or collections?  The City of Durango, Colorado has built a record locator tool that offers a one-stop search for any record type and/or subject.  It’s the first search at the top of the list of Durango's custom queries on the Public Records Portal at durangogov.org/Records.  Anyone on the Internet can see what city records the City is maintaining, where they are found electronically, where the hardcopy of permanent records is stored archivally, who has rights to view them, and the pertinent section(s) of the Colorado Municipal Records Retention Schedule.  This has been a been a major step toward records transparency, records accessibility, and in-house workflow efficiency.  

Webinar attendees will come away from this presentation with an understanding of how a record locator tool is built to help with record transparency, records accessibility, and in-house workflow efficiency. Attendees will also receive hands-on for-example searches, downloadable instructions and templates which will give them an insight into the creation of their own record locator tool.

Todd devoted his 40-year archives and records management career to building archival programs at several institutions and making mountains of unorganized records readily accessible to anyone with the right to view them, now and into the foreseeable future.  His masters’ degrees in history and library science are from the University of Maryland, under former Acting Archivist of the US, Frank Burke.  Ellison’s undergraduate work was at Middlebury College in Vermont and a year at the University of Natal in South Africa, where his archival researching included a Parliament-authorized expedition to attempt to find the diary of the man he was studying.  The diary had been buried in the ear of an elephant and unfortunately hadn’t survived to be found over a hundred years later.  Todd’s next goals include developing a very inexpensive means of enabling small towns to get their minutes, resolutions and ordinances full-text searchable on their websites at very little cost and with minimal training and expertise.
